BIP 0008


Since all businesses and organisations must retain many forms of documentation for legal, financial and auditing purposes it can often become a logistical nightmare when questions of retention and storage are examined.

Although one solution to data storage and preservation is document scanning processes, this is not always a straight forward solution as first anticipated. For example, scanned documentation is not always an acceptable method of presenting information as evidence in any legal hearings or court proceedings.

One method of circumventing this potentially catastrophic experience is to ensure that any document scanning services which may have been utilised are fully compliant with BIP 0008. This British Standard sets out in part, a code of practice for any companies who utilise scanned documents or for those businesses which specialise in document scanning for other organisations.

This British Standard was first brought into the legal system in 1996 and offers a set of guidelines which along with other regulations, can help ensure that scanned paperwork can be legally presented in any court of law and can be lawfully employed as permissible court evidence.

BIP 0008 lays out a set of directions which allow the company utilising the scanned documents to provide a full assessment and audit trail of the history of the paperwork in question. This is especially vital when the original manuscript has been destroyed.

Full records on for instance, who scanned the original document, the location of the document scanning services and the access history of the scanned images must be maintained in order to fully comply with this code of practice.
